Returns & Refund Policy

We want you to love what you order. If something isn't right, you can return most unopened items within 30 days. Below is exactly how returns, restocking fees, replacements, and equipment work at Heat Transfer Vinyl 4U.

📦 Return Window

You have 30 days

You may request a return within 30 days of the delivery date. To be eligible, the item must be:

  • Unused, unopened, and in its original packaging
  • Free of damage, wear, marks, or missing parts
  • Accompanied by your order number or proof of purchase

Requests made after 30 days, or for items that have been opened or used, cannot be accepted except where an item arrives defective or damaged (see below).

💵 Restocking Fee

15% on standard returns

Approved returns of non-defective items are subject to a 15% restocking fee, deducted from your refund. This covers inspection, repackaging, and returning stock to inventory.

💡 The restocking fee is waived whenever a return is the result of our error — a wrong, defective, or damaged item. In those cases you're made whole in full.

🔁 When the Mistake Is Ours

Defective, damaged, or wrong item

If your order arrives defective, damaged in transit, or isn't what you ordered, we'll make it right at no cost to you. Please contact us within 7 days of delivery with your order number and photos of the issue.

  • We'll send a free replacement, or issue a full refund with no restocking fee
  • We cover return shipping when the error is on our end
  • Please keep all original packaging until your claim is resolved

🚫 Non-Returnable Items

What can't be returned

Because of how they're made or sold, the following are final sale and cannot be returned unless they arrive defective or damaged:

  • Custom transfers, custom DTF, and made-to-order items
  • Cut-to-order or partial-roll / yardage vinyl
  • Opened or used vinyl, film, powder, or ink
  • Clearance and other items marked final sale
  • Gift cards
  • Equipment, machinery, and printheads (see next section)

Equipment, machinery & printheads

Equipment is sold as final sale. The following items are covered by the manufacturer's limited warranty rather than by our return policy:

  • Printers
  • Heat presses
  • Cutters
  • Curing ovens
  • Powder machines

Always contact us first — we'll help you get manufacturer warranty support fast.

⚠️ Printheads are the exception

Final sale No returns No warranty

Printheads are sold as final sale with no returns and are not covered by any warranty — manufacturer or otherwise. Printhead performance depends entirely on correct installation, careful handling, and ink compatibility, all of which are outside our control once the item ships.

Please confirm that a printhead matches your printer model and ink system before ordering. Once purchased, a printhead cannot be returned, exchanged, or refunded, and no warranty claims can be filed through HTV4U.

📝 How to Start

Requesting a return

Email us

Send your order number and reason for return to orders@heattransfervinyl4u.com. Include photos if the item is defective or damaged.

Get your return authorization

We'll review your request and, if approved, send return instructions and the address to ship to. Please don't send items back before you receive authorization.

Ship it back

Pack the item securely in its original packaging and ship it using a trackable method. Return shipping is the customer's responsibility unless the return is due to our error.

We inspect & refund

Once we receive and inspect your return, we'll issue your refund (less any restocking fee) to the original payment method.

Refunds & return shipping

  • Refunds are issued to the original payment method after we receive and inspect the returned item
  • Please allow up to 5–7 business days for the refund to appear, depending on your bank or card issuer
  • Original shipping charges are non-refundable except when the return is due to our error
  • Return shipping costs are the customer's responsibility for standard returns

⚖️ Governing Law

Legal

This policy is governed by the laws of the State of California, and any disputes shall be handled in the courts of Orange County, California. This policy does not affect any rights you may have under applicable law.
